Job Description

A global law firm with a growth-focused mindset and a strong international presence is seeking an Executive Assistant to join its San Francisco office, supporting the Corporate team. This high-visibility role will provide comprehensive administrative support to 2–3 Partners/Counsel and 3–4 Senior Associates. The ideal candidate will bring corporate practice support experience, preferably with a combination of both in-house and law firm backgrounds.

Responsibilities:

  • Provide high-level administrative support to 2–3 Partners/Counsel and 3–4 Senior Associates in a Corporate practice.
  • Manage complex, high-volume calendars and travel arrangements, ensuring alignment with client and internal priorities.
  • Coordinate and prepare materials for client meetings, including agendas, presentations, and documentation.
  • Liaise directly and confidently with clients and their support staff as a trusted point of contact.
  • Draft, edit, and proofread correspondence and legal documents with strong attention to detail and professionalism.
  • Handle general administrative tasks including phone coverage, scanning, printing, and document management.
  • Track and upload engagement letters/emails to ensure compliance; assist with billing and client invoicing processes.
  • Submit and manage expense reports, track time entries, and support budgeting tasks as needed.
  • Maintain updated client contact databases and assist with business development outreach and events.
  • Support internal marketing efforts including the creation of presentations, client pitches, and other collateral.
  • Collaborate closely with other EAs and team members, sharing workload coverage and updates.
  • Work flexibly, including outside standard hours, to meet critical deadlines or assist with events.

Qualifications

  • Bachelor’s degree required.
  • 3–5 years of Executive Assistant experience supporting senior executives in a global law firm, with a focus on corporate.
  • Experience supporting high-level attorneys or partners with intensive administrative needs.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and prioritization skills, with excellent attention to detail.
  • Exceptional communication and interpersonal skills; professional and composed under pressure.
  • Ability to handle sensitive and confidential information with discretion.
  • Proactive, resourceful, and capable of working independently and collaboratively in a fast-paced environment.
  • Flexible, team-oriented, and comfortable adapting to evolving needs and priorities.

Salary:

$115,000 – $125,000
