Position Overview:
We are seeking a highly organized and experienced Executive Assistant who takes initiative to support the Founder and CEO of UC Funds. This is a high-visibility role that requires exceptional communication skills, sound judgment, organization, and the ability to thrive in a fast-paced, entrepreneurial environment. The ideal candidate will be an exceptional multi-tasker, detail-oriented, and with a deep understanding of executive-level administrative support.
Key Responsibilities:
· Provide comprehensive administrative support to the CEO, managing complex calendars, scheduling meetings, and coordinating travel arrangements
· Prepare and edit correspondence, presentations, and other documents as needed
· Serve as a liaison between the CEO and internal/external stakeholders, ensuring timely and effective communication
· Manage special projects and compile information for business/meeting planning & prep
· Organize and maintain confidential files, records, and corporate documents
· Coordinate logistics for key meetings and investor/client events
· Anticipate the CEO’s needs and proactively address issues before they arise
· Represent the CEO in a professional and polished manner, internally and externally
Qualifications:
· Bachelor’s degree preferred; relevant or equivalent experience will be considered
· Minimum of 3 years of experience supporting C-level executives in a fast-paced entrepreneurial setting
· Outstanding organizational and time management skills with strong attention to detail
· Excellent written and verbal communication skills
· High level of integrity and discretion in handling confidential information
· Proficiency in Microsoft Suite, virtual collaboration tools (e.g. Zoom), and ChatGPT/AI
· Self-starter with the ability to work independently and adapt quickly to changing priorities
