Job Description
We are seeking Veterinary Receptionist position is to ensure that client service excels at RTVI and clients always have a positive interaction with our hospital. The Receptionist is the first and last contact with the hospital and is key to creating lasting (positive) impressions. The responsibility of a Receptionist is to perform primarily clerical tasks related to animal care and to provide miscellaneous support to the veterinary practice manager and health care team.
Primary Goals
To be effective, polite, compassionate and helpful to all clients and their pets
To maintain a presentable and organized clinic to ensure a smooth and efficient hospital flow
To maximize clinic productivity through proper scheduling and triaging phone calls
Maintain knowledge of comprehensive veterinary care, stocked medications, pricing, standard veterinary procedure, basic diagnostic services, and vaccination schedules
Provide friendly, quality client service to the patients and clients of RTVI
Have a full understanding of Rhapsody, the practice management veterinary software that handles medical records, scheduling and finances
Receive incoming calls, emails, Pet Portal & clinic App communications while making sure to respond promptly.
Check and address voicemails daily
Provide knowledgeable sub-professional advice concerning the care and treatment of animals.
Know how to triage phone calls and route to the appropriate team members
Follow established hospital policies and procedures in referring clients for immediate treatment of their pets (urgent care).
Have the ability to discuss the nature of injury/illness, confirm immunizations and/or previous records
Schedule appointments, obtaining all necessary data concerning the patient and owner. Prepare all required forms in advance when possible.
Present clients with medications, discharge instructions, and doctor notes.
Enter communication notes in the appropriate areas of a patient’s chart
Confidently diffuse low risk, negative client interactions or feedback
Medical Knowledge
Ability (or open to learning) to acquire basic patient vitals (weight, TPR)
Reviewing patient’s history and screening file before forwarding to clinical team
Exercise technical knowledge of products sold and demonstrate salesmanship abilities.
Flea, tick and heartworm prevention and over-the-counter products that can be sold at the front desk for patients with an established exam
Explain and demonstrate products, answer questions concerning products purchase/ use.
Fill veterinary prescriptions with appropriate preventatives; provide routine instructions to owners concerning prescriptions for medications.
Collect lab specimens from pet owners, match patient records to the sample and submit samples to veterinary technician or nurse.
